CMA/LPN

GENERAL SUMMARY OF DUTIES: Performs under the direction of a physician or Midlevel Provider and within the framework of the office policies and procedures for the clinical department.

TYPICAL PHYSICAL DEMANDS: Requires full range of body motion including handling and lifting patients, manual and dexterity and eye-hand coordination. Involves standing and walking. Occasionally lifts and carries items weighing up to 100 pounds. Requires normal visual acuity and hearing. Requires exposure to bodily fluids.

TYPICAL WORKING CONDITIONS: Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.

EDUCATION/EXPERIENCE: For CMA: Graduate of an accredited Associate's Degree Medical Assistant program and current certification through AAMA, NHA or similar organization is required.

For LPN: Graduate of an accredited program. Licensure: Must be registered with NCBON and in good standing. One year of professional nursing experience in a clinic setting preferred.

GENERAL DUTIES: (This list may not include all of the duties assigned.)

  1. Assist patient to complete health history.
  2. Perform accurate measurement of vital signs, including blood pressure, temperature, pulse, and body weight and height.
  3. Record all allergies, medications, and pertinent lab work on flow sheets.
  4. Assist the physician or P.A. with common procedures, which involve little or no modification from one situation to another and may be performed with a predictable outcome.
    • a. EKG
    • b. Treadmill
    • c. Flexible sigmoidoscope
    • d. Dressing changes
    • e. Administer p.o. meds under direct supervision of physician
    • f. Administer subcutaneous, intramuscular or intra-dermal injections under direct supervision of a physician
    • g. Schedule various procedures with other departments and clinics and co-ordinates related appointments
    • h. Make referrals to other physicians with authorization from patient's insurance company
    • i. Assist with Pap smears
    • j. Set up sterile tray
    • k. Assist with bone marrow biopsy, thoracentesis, paracentesis or lumbar puncture
    • l. Ear lavage
  5. Use proper body mechanics to assist patients with turning/lifting or to and from vehicle via wheelchair/stretcher.
  6. Talk with patient and family members concerning medical problems via phone and documents conversation in charts as per office policy. Maintains patient confidentially.
  7. Call in prescriptions to pharmacy per verbal order or written order of physician. Documents in patient's chart as per office policy.
  8. Assist receptionist areas in working in unscheduled patients.
  9. Communicate effectively with patients and staff.
  10. Perform errands as delegated by station supervisor.
  11. Restock and cleans exam rooms maintaining a clean and orderly work area.
  12. Keep clinical supervisor informed of high-risk situations.
  13. Demonstrate appropriate use in cleaning of equipment.
  14. Practice infection control, following OSHA guidelines and office policy.
  15. Maintain Medical Assistant certification and or recertification. If not certified at the time of employment, will have a year to complete certification or employment will be terminated.
  16. Maintain yearly CPR certification.
  17. Attend fire safety classes, clinical meetings, compliance and other continuing education classes as offered by Physicians East.
  18. Adheres to department and office policies.

Patient Support Specialist I/II

SUMMARY: The Patient Support Specialist oftentimes is the first person with whom a patient or patients family member will interact either upon arrival at the practice or via phone conversations prior to the visit. The Patient Support Specialist is responsible for ensuring optimization of the patient visit by positively impacting the patients care through knowledgeable, reliable and courteous interactions. Further, the Patient Support Specialist ensures the accuracy of the patient's demographic and insurance information. The Patient Support Specialist works closely with all care team members and is responsible for performing a variety of office functions including: answering incoming phone calls; scheduling appointments; greeting patients and family members; and collecting co-payments. High School diploma required. One or more years of secretarial/medical assistant experience.

FLSA Status: Nonexempt

GENERAL SUMMARY OF DUTIES: Responsible for greeting, welcoming and assisting patients, securing accurate and up to date patient information, collecting patient balances and copayments at the time of service, ensuring prompt service at the point of check in/out, and promoting positive workplace with other departments within Physicians East.

SUPERVISION RECEIVED: Reports to Patient Access Supervisor–Operations; Patient Access Manager; Director of Operations.

SUPERVISION EXERCISED: None.

EDUCATION/EXPERIENCE: High School Diploma required; Associates Degree preferred. Experience in a medical office environment is required.

  • Generate encounter forms and notify clinical staff of patient arrival.
  • Collect co-payments.
  • Responsible for individual till including cash, checks and credit cards and balancing funds with encounter tickets and transactions entered.
  • Answer incoming calls promptly and courteously.
  • Schedule, coordinate, cancel, and reschedule patient appointments.
  • Screen calls, take messages, answer questions and provide information.
  • Relay necessary messages to staff via phone notes in Centricity.
  • Schedule and coordinate outgoing referrals to offices both inside and outside of Physicians East.
  • Complete and send Request for Referral Appointment Authorizations to Managed Care Representative and notify patient of appointment date and time.
  • Direct patients with delinquent accounts to patient representatives for financial agreements and billing questions.
  • Send out new patient packets.
  • Stay active with insurance updates.
  • Keep forms and supplies up to date and ordered.
  • Keep work area neat and orderly.
  • Able to begin each day at 7:30am and end at 6:00pm. Some late nights required.
  • Local travel between Physicians East offices may be required as needed. Dependable transportation a must.
  • Work as a contributing member of a team to keep departments running smoothly.
  • Participate in in-service education, staff meetings and other continuing education programs to maintain optimal technical knowledge.
  • Adhere to department and company policies. Maintain confidentiality.
  • Attend safety classes and compliance training as offered by Physicians East, P.A.
  • Assist with other duties or projects as needed.
